Service
SOP documentation that turns tribal knowledge into repeatable operations.
Every growing business hits the same wall: the owner is the operating manual. Every process lives in someone's head. New hires learn by shadowing. When someone's out sick, things break. When someone leaves, institutional knowledge walks out the door.
We document your standard operating procedures from direct observation — not templates. Process steps, decision criteria, role responsibilities, handoff points, and exception handling. Built for how your team actually works, stored where they actually look.
The problem
Your business runs on memory. That doesn't scale.
You've grown past the stage where the owner can oversee every task. But the processes haven't been formalized. Onboarding is "shadow this person for a week." Quality depends on who's doing the work. Handoffs fall through the cracks because nobody documented what gets passed, when, and in what format.
The result: the owner stays stuck as the answer to every question. Delegation fails because there's no playbook to delegate to. New hires take months to ramp up. Mistakes repeat because lessons aren't captured anywhere. And every day, the gap between how the business should run and how it actually runs gets wider.
SOPs aren't bureaucracy — they're the foundation that lets you step back from day-to-day operations without things falling apart.
What we deliver
Operational documentation your team will actually use.
Process Discovery & Mapping
We observe and document how your business actually operates — not how you think it operates. Interviews, workflow observation, and system audits to map every step, handoff, and decision point in your core processes. This is the foundation for everything else.
Standard Operating Procedures
Clear, step-by-step documentation for your most critical workflows. Written for the people who actually do the work — not for a binder that sits on a shelf. Each SOP includes the process steps, responsible roles, tools used, decision criteria, and exception handling.
Role & Responsibility Mapping
Documented ownership for every process — who does what, when, and what triggers the handoff. Eliminates the "I thought someone else was handling that" problem that kills growing businesses. Clear accountability without micromanagement.
Handoff Standardization
The gaps between roles and departments are where work drops. We document and standardize every handoff point — what information gets passed, in what format, through what system, and what happens if the handoff fails. This is where most operational breakdowns actually live.
Onboarding Documentation
Role-specific onboarding guides built from your SOPs. New hires get a clear playbook for how things actually work — not a vague orientation. Reduces ramp-up time, decreases the load on the owner, and makes hiring less risky.
Living Documentation System
SOPs that live in your actual workflow — Notion, Google Docs, your project management tool, or wherever your team already works. Not a PDF dump. Version-controlled, searchable, and maintained as a living operational reference.
Who this is for
Growing businesses where the owner is still the operating manual.
If you can't take a week off without things breaking, if new hires take forever to ramp up, if quality depends on which team member does the work — your processes need documentation. We work with businesses from 5 to 100 employees across service, construction, professional services, and tech.
This is a good fit if:
- You're hiring and need documented processes for onboarding
- Work quality is inconsistent because everyone does things differently
- You're the bottleneck because every question comes back to you
- You've tried to document things yourself but never finished or nobody uses it

Common questions
How long does SOP documentation take?
A focused SOP project covering 8–12 core processes typically takes 2–4 weeks. Larger engagements covering entire departments or complex multi-team workflows can run 4–8 weeks. We scope it based on how many processes need documentation and how much discovery is required.
What if we don't have any processes documented yet?
That's the most common starting point. We interview your team, observe workflows, and map processes from scratch. The documentation comes from discovery — not from you handing us existing docs to reformulate.
Where do the SOPs live after you create them?
Wherever your team actually works. We typically build documentation systems in Notion, Google Docs, Confluence, or your project management platform. The format depends on your team's workflow — the goal is documentation people actually reference, not files people forget exist.
Will my team actually use these SOPs?
That's the whole point of how we build them. SOPs written by outsiders who don't understand your business get ignored. We build them from direct observation of how work actually flows, validate them with the people who do the work, and embed them into your existing tools. Plus, we support adoption — not just delivery.
Is this different from your operations & process improvement service?
SOP documentation is a focused engagement specifically on documenting your existing or redesigned processes. Operations & process improvement is broader — it includes diagnosing bottlenecks, redesigning workflows, and implementing structural changes. Many clients start with process improvement and include SOP documentation as part of the implementation.
